Managing property maintenance gets complicated when repair requests, vendor assignments, approvals, and invoices move between different systems. According to Buildium's 2026 Property Management Industry Report, 56% of rental property owners say maintenance support is the main reason they hired a property manager. That puts considerable pressure on managers to keep repairs moving and owners informed.

The best property maintenance software should make that work easier, but the right choice depends on who coordinates repairs, who performs them, and how maintenance records connect to your existing property management system.

While building AMPD, a commercial property maintenance platform, as part of our real estate software development projects, we saw how much coordination matters when tenants, administrators, owners, vendors, and field workers all handle different parts of a repair. We used that experience, along with vendor documentation and practitioner accounts, to compare nine tools based on their capabilities, pricing, integrations, and suitability for different portfolios.

TL;DR

Which property maintenance software should you shortlist?

  • Residential repairs handled mostly by outside vendors Property Meld.
  • Multifamily inspections and make-ready HappyCo.
  • Short-term rental turnover and repairs Breezeway.
  • Outsourced intake and after-hours coverage Latchel, with Vendoroo as a newer, less-documented option.
  • In-house technicians and preventive maintenance UpKeep or MaintainX for work orders across sites, Limble for equipment-heavy buildings, FMX for campus-style facilities.
Before signing anything

check which records reach your property management system (PMS). Work-order and financial-data sync vary by integration. Check invoices, owner records, photos, approvals, and direction of transfer individually.

What is property maintenance software?

Property maintenance software takes a repair request from a resident or staff member, routes it to a technician or vendor, records approvals and costs, and closes it out with documentation.

A PMS such as AppFolio, Buildium, or Yardi runs leasing, rent, and accounting, with maintenance as one module. Dedicated tools go deeper on vendor scheduling, owner approvals, and technician mobility.

If you already run one of those systems, a second tool is only worth it when the built-in module fails at a specific job, such as chasing vendors, collecting owner approvals, or after-hours intake. Operators land on both sides. Northpoint Asset Management credited Property Meld with standardizing maintenance across its markets in a vendor-published case study, then moved operations onto AppFolio in 2025. A Reddit user said they canceled Property Meld because it did little a spreadsheet could not.

If you are still choosing a PMS, start with our comparison of the best property management software.

What features does property maintenance software need?

Every portfolio needs structured request intake with photos, a way to coordinate whoever does the work, recorded owner approvals, mobile access in the field, and a clean financial closeout.

Intake matters most when residents report by phone or text, because a request without photos or answers to basic questions often means a second trip. Tools that ask follow-up questions at intake address that step directly.

Vendor coordination splits by who does the work. Scattered-site portfolios that rely on outside contractors need scheduling, reminders, and a vendor view that does not require another app. Portfolios with in-house technicians need assignment, checklists, and time tracking instead.

Owner approvals are essential for third-party managers and optional for owner-operators who approve their own spend. If you manage for investors, check that approvals are captured inside the system rather than in a text thread.

Mobile access is essential for anyone in the field, and offline support matters if technicians work in basements or areas with weak signal. Recurring work is essential for multifamily and commercial buildings with equipment schedules, and optional for most single-family portfolios.

How did we evaluate these tools?

We reviewed public evidence, including pricing pages, technical documentation, release notes, practitioner discussions, and independent video reviews. We did not run trials or hands-on tests. This is an editorial comparison, not a performance-test ranking.

An integration counted as verified only when it appeared in a help center, a PMS partner directory, or release notes, never from a logo on a marketing page. AI features were checked against each vendor's release labels, and we noted where vendors document a human step. We left out review-site star ratings because coverage was too uneven to compare fairly.

TechnBrains does not sell maintenance software, but we do build custom property management and maintenance systems.

What patterns did we find across the 9 property maintenance tools?

5 patterns kept appearing across the nine vendors, and each one changes what you should ask in a demo.

  • PMS integrations do not always carry the complete repair record. Some connections sync work orders or statuses, while others transfer property data and selected financial records without the underlying repair request. Latchel keeps invoices in Latchel on its Buildium connection; Property Meld documents restrictions on Yardi owner records and vendor synchronization. An operator interviewed about maintenance workflows described reconciling owner trust-fund holds manually. Ask vendors exactly which fields move, in which direction, and which system retains the full approval and billing history.
  • The nine tools are three different purchases. Property Meld, HappyCo, and Breezeway sell software your team runs. Latchel and Vendoroo sell coverage, where their staff or AI handle the request. UpKeep, MaintainX, Limble, and FMX sell CMMS seats with no answering layer. A per-seat CMMS and a per-door service cannot be compared on price.
  • Contractor adoption is the limit no platform removes. Vendor portals exist across the coordination tools, and UpKeep lets contractors update work without a full account. None of that helps if your plumber will not use it, and UpKeep’s property management page concedes that vendor-dispatch tools go deeper.
  • Turns need their own workflow. HappyCo and Breezeway treat make-ready as a sequence that ends with a rent-ready status in the PMS. In most other tools, a turn is a work order with sub-tasks.
  • AI release labels lag the marketing. HappyCo’s Joy voice agent was still in early access in July 2026, and the strongest AI performance figures we found, from Latchel and Vendoroo, are vendor-reported.

What Is the Best Property Maintenance Software for Different Property Management Needs?

The best property maintenance software depends on whether you manage residential repairs, coordinate outside vendors, handle unit turnovers, or maintain equipment across multiple buildings. Here are nine tools grouped by the maintenance problems they solve.

1

Property Meld

Best for residential repair coordination
property meld website header
Category

Residential vendor coordination

Pricing

Core $1.60/unit/month; Ops $2/unit/month; MAX On-Call adds $1.50/unit/month. A $200 monthly minimum applies. Official pricing.

PMS integrations

AppFolio, Yardi, Buildium, Rent Manager, Rentvine.

Property Meld moves repairs between residents, coordinators, vendors, and owners. Its MAX assistant collects additional information during intake, while automated scheduling, owner approval flows, and vendor communication through text, email, or browser reduce the need for manual follow-up.

Its integration depth deserves attention. The Yardi documentation describes four-hour data synchronization, manual vendor imports, and owner records that do not synchronize. In a 2026 Northpoint interview, the operator discussed difficulties reconciling maintenance-related owner funds and handling turns. These are useful scenarios to test, particularly now that the Ops plan advertises turnover coordination.

Main trade-off

Strong outside-vendor coordination, but accounting handoffs, owner records, and turnover workflows require careful PMS integration testing.

Avoid Property Meld when

Your PMS already manages vendor coordination effectively, or most repairs are performed by in-house technicians who need detailed asset management.

2

HappyCo

Best for multifamily inspections and make-ready
Happy co website header
Category

Multifamily inspection and turnover management

Pricing

Modular, per-unit custom quote. Portfolio minimums and implementation requirements need confirmation. Official pricing.

PMS integrations

AppFolio, Yardi partner connection, limited Entrata functionality.

HappyCo combines inspections, work orders, asset management, and make-ready operations. Its strength is connecting move-out inspections with the repairs needed to return a unit to leasing inventory. The AppFolio integration can create inspections from PMS events, turn failed inspection items into tasks, and synchronize inspection records and work orders.

HappyCo's 2026 product updates also describe Entrata assignee synchronization and chargeback posting. Its Joy voice agent was labeled early access in July 2026, so current availability should be confirmed. HappyCo also describes implementation periods of 60 to 120 days in the research reviewed.

Main trade-off

Detailed inspection and turnover workflows, but modular costs, implementation effort, and PMS-dependent functionality complicate evaluation.

Avoid HappyCo when

You manage scattered-site rentals with few unit turns and primarily need faster contractor scheduling rather than inspection-driven workflows.

3

Breezeway

Best for short-term rental turnover and repairs
breezeway website header
Category

Short-term rental operations and maintenance

Pricing

Custom per-property quote, with volume discounts. No publicly retrievable standard rate card.

PMS integrations

AppFolio and vacation-rental reservation/management systems.

Breezeway connects cleaning, inspections, and maintenance to the time between guest stays. Its value comes from managing work as a sequence that must finish before the next arrival, rather than treating each repair as an unrelated work order.

The AppFolio partner listing describes access to tenant, unit, and work-order data, with work-order and rent-ready updates returned to AppFolio. Buyers should confirm which AppFolio product and reservation-data connections apply. In host discussions and short-term rental discussions, small operators question whether the subscription is justified at low property counts.

Main trade-off

Purpose-built turnover coordination, but its value depends on property count, turnover frequency, and existing reservation-system capabilities.

Avoid Breezeway when

You mainly manage long-term leases or a few properties with infrequent turnovers, where scheduling and inspections remain manageable in your existing software.

4

Latchel

Best for outsourced maintenance intake and after-hours coverage
Latchel website header
Category

Outsourced maintenance coordination

Pricing

Custom per-door service quote. Confirm minimum commitments, emergency charges, resident fees, and cancellation terms. Service agreement.

PMS integrations

AppFolio, Buildium, Yardi, Rent Manager, Propertyware, Rentvine; lighter data sync for Entrata, RealPage, MRI.

Latchel combines AI-assisted intake with human support for troubleshooting, dispatch, scheduling, and follow-up. It reduces coordination work rather than performing physical repairs. Its integration documentation identifies full connections to several PMS platforms, but the records transferred depend on the system.

For example, Latchel's Buildium documentation explains that the connection requires Buildium Premium's Open API. Tasks and linked work orders reach Buildium in real time, while call transcripts, photographs, video, and invoices remain on the Latchel job record. For AppFolio, Latchel documents a browser-extension-based synchronization method covering work-order updates and invoices. These differences matter when owners or accountants expect the complete repair record in the PMS.

Main trade-off

Less coordination work for internal staff, but service quality, cost, record visibility, and escalation control depend on the contract and PMS integration.

Avoid Latchel when

You need direct internal control over every coordination step or expect all supporting documents to appear automatically in your PMS without additional setup.

5

Vendoroo

Best for piloting AI maintenance coordination
Vendoroo website header
Category

AI maintenance coordination service

Pricing

Roles and packages on its plans page; a vendor-published range of 8.50 per door appears in its content, but the billing period and included services need confirmation. Request a current written quote.

PMS integrations

Vendor-claimed AppFolio, Yardi, Buildium, and Rentvine connections; technical documentation not independently verified.

Vendoroo's ROO agent uses property information and management rules to help diagnose requests, select vendors, follow up on repairs, and communicate with owners within defined approval limits. The potential benefit is reducing routine coordination work without adding staff as the portfolio grows.

The evidence is less developed than for established competitors. The original research found no public technical integration documentation equivalent to that available for Property Meld or Latchel, while published performance claims did not include enough methodology to independently assess them. Buyers should test a small group of properties, measure how frequently coordinators intervene, and require examples of incorrect diagnoses, missed escalations, and spending exceptions before expanding deployment.

Main trade-off

Potentially less manual coordination, but limited independently documented integration depth and operating performance increase the need for pilot testing.

Avoid Vendoroo when

You require established independent evidence, fully documented PMS integrations, or cannot supervise a controlled trial of automated maintenance decisions.

6

UpKeep

Best for in-house maintenance technicians
Upkeep website header
Category

Mobile-first CMMS

Pricing

Essential $24/user/month; Premium $55/user/month; Professional and Enterprise by quote. Implementation packages listed at 500–5,000 in the original research. Official pricing.

PMS integrations

No packaged connection to the major residential PMS platforms verified in this review.

UpKeep provides mobile work orders, technician assignments, asset management, and preventive maintenance for teams working across commercial or mixed-use buildings. Its Provider Portal allows external contractors to view assignments, change status, and submit quotes or invoices without a full user account.

Plan selection affects the real cost. The original pricing review found that the external request portal starts at Professional, while API access and multi-site functionality require Enterprise. That makes the advertised entry price a poor estimate for portfolios needing extensive PMS connectivity or centralized administration across buildings. UpKeep is strongest when maintenance execution is primarily handled by technicians rather than residential coordinators.

Main trade-off

Strong mobile technician workflows and contractor access, but advanced integrations and multi-site administration can require higher-cost plans.

Avoid UpKeep when

Your primary need is residential intake, tenant communication, and owner approvals rather than managing technicians, assets, and recurring work.

7

MaintainX

Best for multi-site work orders and preventive maintenance
MaintainX website header
Category

Multi-site maintenance CMMS

Pricing

Basic free; Essential 25 monthly); Premium 75 monthly); Enterprise by quote. Official pricing.

PMS integrations

No packaged connector to the major residential PMS platforms verified. Open REST API available on Premium and higher plans.

MaintainX organizes work orders, recurring maintenance, procedures, and asset records across locations. It suits organizations where technicians need consistent instructions and managers need to compare work completed across buildings. Requester accounts are free, reducing licensing requirements for people who only submit maintenance requests.

The pricing documentation limits Basic to two active repeating work orders and places API access in Premium. Multi-site management, advanced permissions, and single sign-on require Enterprise. The vendor's implementation estimate in the original research was approximately three weeks per site, which buyers should validate for their portfolio. A team managing eight buildings should request an Enterprise quote before using the Premium list price for budgeting.

Main trade-off

Strong standardized maintenance and preventive scheduling, but multi-site controls and API access introduce important licensing considerations.

Avoid MaintainX when

You primarily coordinate residential tenants, outside vendors, and investor approvals rather than supervising in-house maintenance teams.

8

Limble

Best for asset-heavy preventive maintenance
Limble website header
Category

Asset-focused preventive maintenance CMMS

Pricing

Earlier published cost guidance lists Standard at $28/user/month and Premium+ at $69/user/month; the current pricing page requires a quote. Official pricing and plan features.

PMS integrations

No packaged residential PMS connector verified. ERP, sensor, and business-system integration options.

Limble is designed for organizations where equipment condition drives the maintenance calendar. It supports asset records, work orders, recurring service, and maintenance reporting for systems such as chillers, pumps, and rooftop HVAC units. Its integration information focuses on equipment-monitoring and business-system connections rather than residential property management workflows.

Plan restrictions affect deployment: the current feature comparison places offline mobile functionality and API access in Premium+, while multi-location tools and custom approval workflows require Enterprise. One independent software review also reported mobile lag, crashes, photo-upload issues, and minimum-seat concerns. Those observations represent one review, so buyers should test field performance directly rather than treat them as universal defects.

Main trade-off

Strong asset histories and preventive maintenance, but offline access, approvals, multi-location controls, and integrations depend on higher tiers.

Avoid Limble when

Your properties have limited equipment-servicing requirements and most maintenance involves tenant requests, outside contractors, and owner approvals.

9

FMX

Best for campus-style facilities with recurring maintenance
FMX website header
Category

Campus and facilities maintenance management

Pricing

Custom quote based on licensed users and selected modules. No standard public rate card in the original research.

PMS integrations

Integrations available on request; no named major residential PMS connector verified. Official integration information.

FMX supports maintenance requests, recurring maintenance, facilities operations, and capital planning. Its background in education, healthcare, and public-sector environments makes it relevant to large properties managed by centralized facilities departments, rather than traditional residential property management companies.

Integration and implementation requirements deserve attention. Its integration page describes custom connections rather than publishing a list of supported residential PMS platforms. The original research also found that FMX uses an Excel-based migration template. We did not identify publicly documented property management customer evidence comparable to the other vendors reviewed, so buyers should request references from organizations operating similar buildings and maintenance teams.

Main trade-off

Broad facilities management functionality, but custom integration requirements, quote-based pricing, and limited residential PMS evidence complicate comparison.

Avoid FMX when

You operate scattered-site residential rentals where tenant communication, outside vendor scheduling, and owner spending approvals are the main priorities.

Which property maintenance software integrates with your PMS?

Property Meld, HappyCo, Breezeway, and Latchel have documented integrations with major property management systems such as AppFolio, Yardi, and Buildium. Vendoroo also advertises PMS connections, although we could not independently verify their technical details.

Integration options vary by software:

  • Property Meld: Connects with AppFolio, Yardi, Buildium, and Rent Manager. Its Yardi integration syncs property and resident data every four hours, but vendor imports are manual and owner records do not sync.
  • HappyCo: Supports AppFolio and Yardi integrations, with limited Entrata functionality. Its Buildium connection remains vendor-claimed.
  • Breezeway: Has a documented AppFolio integration for work orders and property turnover updates.
  • Latchel: Integrates with AppFolio, Yardi, Buildium, Rent Manager, and other PMS platforms. Its Buildium connection requires Premium API access, while AppFolio synchronization uses a browser extension.
  • Vendoroo: Advertises integrations with AppFolio, Yardi, and Buildium, but publicly available technical documentation remains limited.
  • UpKeep, MaintainX, Limble, and FMX: Focus primarily on maintenance and facilities operations. We could not verify packaged integrations with the major residential PMS platforms reviewed.

Before choosing a platform, check what information actually synchronizes. Some integrations transfer work orders and statuses but leave invoices, photos, owner approvals, or detailed repair histories in the maintenance platform.

For example, Property Meld only synchronizes AppFolio properties belonging to a connected property group.

Ask vendors to demonstrate one complete repair, from request submission and owner approval through vendor completion and invoicing, inside your existing PMS.

What happens to a maintenance request from intake to invoice?

A typical repair passes through a chain of handoffs, and most coordination failures happen between them rather than inside any single step.

Take a roof leak at a commercial property. In AMPD, the tenant scans a QR code at the property and reports the issue with photos, so the request arrives tied to a specific location. A roofing vendor inspects, diagnoses the cause, and recommends a repair. The property administrator reviews the recommendation, and the owner approves the spend. When the work is done, the vendor files a completion report, and the invoice has to be matched to that approval.

Each handoff has a typical failure. Emergencies get missed when triage depends on whoever checks messages. Jobs stall when a vendor never confirms. Residents call the office when status updates are manual. Overages slip through when the approval lives in an email thread.

In a demo, follow this exact request through your own PMS account. If the owner approved $500 and the roofer invoices $800, ask the vendor to show where the overage is flagged, who approves the difference, how that approval is recorded, and what reaches the owner's ledger.

What building AMPD taught us about commercial property maintenance software

Commercial maintenance becomes more complicated when reporting an issue, diagnosing it, authorizing the work, and completing the repair involve different people.

We encountered this workflow requirement while developing AMPD, a commercial property maintenance platform with a particular focus on roofing operations.

AMPD connects five participant groups: tenants, property administrators, owners, maintenance vendors, and field workers. A tenant can report an issue through a property-specific QR code. The vendor investigates and provides a diagnosis and repair recommendation. The administrator reviews the proposed work before it goes to the owner for authorization. Completion reports document the finished repair.

The important requirement is preserving the relationship between these actions. A maintenance system needs to distinguish what the tenant reported, what the contractor recommended, what the owner approved, and what work was completed.

That distinction becomes especially valuable when repair scopes change or multiple parties need to review the same request.

Why storm-related maintenance adds another layer

AMPD also incorporates weather and storm-data integrations relevant to commercial roofing work.

Unlike routine maintenance, a major weather event can create inspection and repair requirements across several buildings. Property managers need to connect external event information with the locations, reports, and repair activities they manage.

Weather information provides additional context, but it cannot replace a professional assessment of actual property damage.

For software buyers, the question is whether the maintenance platform can accommodate this type of external data when it matters to their operations.

When does this justify custom software?

Not every property manager needs the workflows built into AMPD.

A residential portfolio with straightforward repairs may find everything it needs in Property Meld or its existing PMS. A facilities team primarily maintaining HVAC systems may be better served by a CMMS such as Limble or MaintainX.

Custom development becomes worth examining when your processes require several layers of authorization, distinct permissions for different participants, specialized vendor assessments, or data connections that existing products cannot support economically.

Before choosing that route, map a real repair from the first report to financial closeout. Identify what each person must know, which decisions require authorization, and which records must remain connected.

That exercise will help determine whether you need a better-configured product, an integration, or software designed around your operating model.

Do reactive and preventive maintenance need different software?

Reactive and preventive maintenance require different workflows, although one platform can support both. Reactive work begins with an unexpected issue; preventive work follows scheduled inspections, equipment servicing, or recurring tasks.

Reactive work is unpredictable and usually vendor-heavy, so the software has to handle intake, triage, dispatch, and communication well. That is the core strength of coordination platforms. Preventive work is planned, so the software needs asset records, recurring schedules, checklists, and a history of what was serviced and when.

Coordination platforms cover lighter preventive needs. Property Meld's Ops plan lists recurring repair configuration, inspection scheduling, and an owner opt-in preventive program, which suits seasonal tasks like gutter cleaning or smoke detector checks across single-family homes.

A CMMS becomes the better fit when equipment drives the calendar, such as boilers, elevators, rooftop HVAC units, and fire systems in commercial or large multifamily buildings serviced by your own technicians. Check the tier before you budget: UpKeep adds preventive scheduling at Premium, and MaintainX's free tier limits preventive schedules.

Storm-driven work sits between the two. It is reactive in timing but follows a pattern, because one hail or wind event can affect many roofs at once. AMPD brings weather and storm data into the maintenance workflow for exactly this reason.

If both workflows matter, decide which system holds the asset history, then connect or consolidate. Running two maintenance systems without that decision creates duplicate records.

How to choose property maintenance software for your portfolio

Match the tool to the workflow that drives your maintenance costs, then check integration depth for that workflow.

  • Scattered-site single-family rentals: vendor follow-up and owner approvals matter most. A 700-unit AppFolio portfolio using outside contractors and needing after-hours coverage should compare Property Meld with MAX On-Call against Latchel: software your team runs versus a service that runs coordination for you.
  • Multifamily: inspections and turns matter most. HappyCo is built for this, and a coordination tool belongs on the list only if it can show a real make-ready board.
  • Commercial and mixed-use: Assets, preventive schedules, and multi-party approvals matter most. For 15 technicians, published rates put UpKeep Premium at $9,900 annually and MaintainX Premium at $11,700. Limble’s previously published Premium+ rate gives a $12,420 estimate. These are comparison baselines, not eight-building quotes: confirm multi-site capabilities, integration rights, and Enterprise pricing before budgeting.

Is maintenance software worth the cost? Calculating ROI

Compare the full annual cost of the tool against the staff time and avoidable costs it removes, using your own baseline rather than vendor benchmarks.

Start with four weeks of current data: monthly request volume, time from request to assignment, the share of work orders past due, hours spent chasing vendor updates, and time spent reconciling invoices. In one BiggerPockets thread, a poster who had surveyed property managers reported vendor follow-up as the task still wasting time on AppFolio, Buildium, and Yardi.

Then total the cost of ownership: the subscription, onboarding, any PMS plan upgrade the integration needs, add-on modules, outsourced coordination fees, and the staff hours needed to run the platform.

The break-even math is simple. A 300-unit portfolio on Property Meld Ops pays $7,200 a year in subscription fees. Divide that by your coordinator's fully loaded hourly cost to get the hours the tool must save. At an assumed $30 an hour, that is 240 hours a year, or about 20 hours a month. If your baseline shows less time than that on the steps the tool automates, the subscription is unlikely to pay for itself on labor alone.

Labor savings are only part of the calculation. Track repeat visits, overdue work orders, approval delays, and invoice corrections as well. Count these toward ROI only when you have a baseline and can measure the change after implementation.

How much maintenance coordination can AI handle?

AI now handles intake questions, triage, and status updates in shipping products, but documented products still route emergencies, spending above set limits, and repair decisions to people.

Property Meld's MAX runs intake, and its priced On-Call add-on escalates true emergencies based on rules you set; its 99.94% triage accuracy figure is a vendor metric. Latchel runs AI-first intake with staff behind it. HappyCo's Joy voice agent keeps a human in the loop for every escalation.

Community evidence is thin: one Reddit user credited Property Meld with good data but said plain-language queries were not there yet.

In a demo, ask which AI features are generally available on your plan, what happens when the AI misclassifies an emergency, and who can authorize spend above an owner's limit.

When should you extend your current system or build a custom workflow?

Use your existing PMS when it handles the workflow, integrate when records must move between systems, and build custom only when a core process cannot run in any available product. Consolidation is a valid choice too, as long as you budget for retraining.

AMPD illustrates when custom software becomes practical. Commercial roofing repairs involved several approval layers, vendor assessments, and weather-related information that needed to remain connected to the same maintenance record. Our review did not identify a single product with that complete, publicly documented workflow. For businesses with similar requirements, compare extending an existing platform against custom property management software development, including implementation and ongoing ownership costs.

When standard products handle your core process, start there and extend them through integrations. For more specialized requirements across a real estate portfolio, see our real estate software development capabilities.

Final verdict: Which property maintenance software should you choose?

Property Meld is a strong shortlist candidate for residential managers coordinating outside vendors, while HappyCo fits multifamily inspections and make-ready. Breezeway focuses on short-term rental turnovers, and Latchel suits teams looking to outsource intake and coordination.

For in-house maintenance teams, compare UpKeep and MaintainX. Limble deserves attention when equipment history and preventive maintenance drive the workload. Vendoroo warrants a controlled pilot because its technical integration evidence is less developed.

The deciding factor is what happens between the maintenance tool and your PMS. Test a repair from intake through approval, vendor completion, invoicing, and accounting. Confirm which records transfer and which remain in separate systems.

If existing products cannot support your approvals, data requirements, or specialized workflows, compare integration or extension against custom development before signing a long-term contract.

FAQs

Only if AppFolio's maintenance module fails at a measurable step, such as vendor follow-up or after-hours intake. Several tools here document AppFolio connections, though accounting and repair-record synchronization vary by connector.

Not always. UpKeep's Provider Portal lets vendors update status and upload invoices without a full account, and Property Meld vendors can respond by text, email, or browser.

It depends on the route. Property Meld sends invoices to Yardi invoice registers, while Latchel's Buildium route keeps invoices in Latchel. Confirm invoice sync in writing for your PMS and plan tier.

Property maintenance software centers on resident requests, outside vendors, and owner approvals. A CMMS centers on in-house technicians, assets, and preventive schedules.

Per-unit tools grow with your portfolio, and per-user tools grow with your staff. Price both at your real unit count and headcount, on the tier that includes the integrations you need.
